System Help & FAQs Guide
📋 General FAQ
What is this application?
This is the Medical Insurance Data Entry system, designed for digitizing scanned insurance sheets into XML outputs. Operators input patient data, QC users verify details, and Administrators organize files and export batch results.
Are changes saved instantly?
Yes, clicking the Save button updates the database and updates the operator's active XML file in real-time. There is no need for manual file publishing.
Will my typed data be lost if the server goes down?
No. If the server is unreachable, the system will show a connection error but keeps the form filled with your typed data. Do not refresh or exit the browser tab. Once connection is restored, you can safely click save again.
✏️ Operator Guide
How do I start entering data?
Click Select Image in the toolbar and load a document image file.
Type values starting from the Record No (must be 5-10 alphanumeric).
Press Tab to move to the next field. Shift + Tab moves backward.
Click Save or press Enter (when focused on submit buttons) to save.
How does real-time field validation work?
As you type, the system checks validations (e.g. email formats, date formats like MM/DD/YYYY, and constraints like UPPERCASE for medicine names). Invalid fields are highlighted in red. The status bar at the bottom summarizes any errors.
Where are my records stored?
Your files are stored in a dedicated folder in the system matching your username: /exports/<username>/<start_img>-<end_img>.xml. This guarantees other users will not overwrite your work.
🔎 QC Manual
How can I inspect operator records?
Admins and QC users can go to the Dashboard under the User Records tab. Click Open to view details, or expand the image block and click Inspect next to any row to load it into the form for editing.
How do I override validation remarks?
When a QC user loads a record, they will see a pencil icon (✏️ Override) next to the Remarks field. Clicking this unlocks the field so the QC user can write manual remarks, bypassing automatic validation message generation.
⚙️ Admin Guide
How do I export all operator files?
Use the buttons at the top of the Dashboard:
Export Combined XML: Merges all operators' XML files into a single root file.
Download ZIP: Packages all individual operator folders and files into a single download.
What is "XML User Mapping"?
In User Management, you can assign an "XML User" ID to any account. If mapped, the user's exported XML records will have their <UserID> tags set to this ID instead of their login username.
How does the monthly reset work?
The application tracks the calendar month. On the first login of a new month, operator entry counts are automatically reset to 0 in the database, allowing statistics to start fresh. Historical XML files in `/exports` are never deleted.
How do I back up the database?
Click Reports in the workspace toolbar and click Create Database Backup File. This creates a timestamped copy of the SQLite database.
